Bring your spreadsheet

Already tracking PTO in a spreadsheet?

Upload the file you already maintain. Everyone comes across with their department, allowance and carryover intact — no retyping, and nothing sent until you say so.

1

Drop the file in

.xlsx or .csv, straight from Excel or Google Sheets. A title row above your table is fine.

2

Check the preview

See every person that would be invited, every row that could not be read, and anyone already on your team.

3

Confirm when ready

Invitations go out, or add everyone quietly and share the join links yourself.

What it reads from your file

Column names are matched loosely — case, spacing and any bracketed unit are ignored, so “Annual Allowance (days)” and “annual allowance” both work. You do not need to rename anything.

ColumnAlso acceptsWhat it does
NamerequiredEmployee, Employee Name, Full NameThe only other required column.
EmailrequiredEmail Address, Work EmailUsed to send the invitation. Duplicates are caught before anything sends.
DepartmentTeam, DeptBecomes a team, with its own colour on the calendar.
Annual allowanceAllowance, Annual Days, PTO DaysPer-person override. Blank rows fall back to your company default.
CarryoverCarried Over, Rollover, Brought ForwardStarting balance carried in from last year.

Nothing happens until you confirm

Uploading only reads the file. You get a preview listing everyone who would be invited, every row that could not be read and why, and anyone already on your team. If a row has a missing email or a typo, that row is reported on its own — the rest still import, so one bad cell never sends you back to the spreadsheet.

When you are ready, you choose whether invitation emails go out at all. Uncheck the box and everyone is added quietly with a join link you can share however you like.

Common questions

Does my spreadsheet need to be in a particular format?

No. It needs a header row with a Name column and an Email column somewhere in the first ten rows. Everything else is optional, column names are matched loosely, and a title row above the table is fine.

What happens if some rows are wrong?

Bad rows are reported individually and the rest still import. A missing email, a typo, or the same person listed twice is flagged on the preview screen with the row number, rather than rejecting the whole file.

Will it email my team straight away?

Only if you let it. The preview screen shows exactly who would be invited and nothing is sent until you confirm. There is a checkbox to add everyone quietly and share join links yourself instead.

Can I import a Google Sheet?

Yes. In Google Sheets choose File, then Download, then Microsoft Excel (.xlsx), and upload that file. CSV works too.

What if someone is already on my team?

They are skipped, not duplicated. The preview lists them separately so you can see the import recognised them.

Your spreadsheet already has the hard part

Names, departments, allowances, who carried what over. Bring it across once and the balances keep themselves up to date after that.
